Family/Caregiver Involvement Policy

Purpose

This policy outlines the framework for involving families in a client’s case, ensuring a collaborative approach to decision-making and support while respecting the client’s rights and confidentiality.

For the purposes of this policy, feedback includes compliments, suggestions, complaints, comments, and inquiries.

Client Consent

Adult clients

  • New Vision requires written permission to share details of an adult’s case, unless a power of attorney agreement is in place and provided to New Vision upon request.
  • New Vision staff will defer to the wishes, needs, and goals of the client, even if those wishes, needs, and goals contradict those of family or power of attorney.

Youth clients

  • It is expected that the family is involved in the child’s services.
  • As the child ages, instructors may request the family to allow the aging child to lead their case development, as a way of encouraging self-advocacy.

Engagement Channels

To facilitate family involvement, the following channels are available:

  • In-Person Meetings:
    • During client assessments and training sessions.
    • Scheduled consultations at our office or designated locations.
  • Phone: With case managers and instructors as appropriate.
  • Written Communication: Email, letters, or other written formats for sharing updates and receiving input.
  • Digital Platforms: Secure portals or video conferencing tools for remote engagement.
  • Family Workshops: Organized sessions to educate and involve families in the client’s care process.

Confidentiality

  • Data Protection: All family interactions and shared information will adhere to our privacy and confidentiality policies.

Collaboration Guidelines

  • Information Sharing: Families will be encouraged to share insights about the client’s history, preferences, and needs.
  • Regular Updates: Provide families with timely updates on the client’s progress and any changes in the plan of care.
  • Conflict Resolution: Address disagreements respectfully and collaboratively, prioritizing the client’s best interests.
  • Cultural Sensitivity: Recognize and respect cultural and individual differences in family dynamics.

Employee Training

  • Training Programs: Employees will receive training on effective family engagement practices, communication skills, and cultural competence.
  • Continuous Learning: Regular workshops to update staff on best practices and emerging trends in family involvement.
